1. About this policy
Xyclone Solutions LLC ("Xyclone," "we," "us," or "our") is a data and technology company based in Maryland. We help small and growing businesses organize, clean, and understand their business information.
This policy explains what personal information we collect through our website at xyclonesolutions.com, how we use it, and the choices you have. It also explains, separately, how we handle the business information our clients give us during a project.

2. Two different kinds of information
It matters which one applies to you, because we treat them differently.
Website and inquiry information. If you visit our site or fill out our contact form, we decide what to collect and why. That is what Sections 3 through 10 describe.
Client project information. If you hire us, you send us files — spreadsheets, customer records, invoices, reports. We handle that information on your behalf, under the terms of our written agreement with you, and for no other purpose. Section 11 covers this.
3. Information you give us
When you submit our contact form, we collect what you type into it:
- Your name
- Your business name
- Your email address
- Your phone number (optional)
- Your industry
- The service you're interested in
- The format your current files or data are in
- A description of the business problem you'd like help with
- Your preferred language
- Your preferred contact method
We also keep the emails, messages, and notes from any conversation that follows — the same way any business keeps a record of who contacted it and what was discussed.
Please don't send us confidential files through the contact form. After our first conversation, we'll send you secure file-sharing instructions. The form is for describing your situation, not for transferring your data.
4. Information collected automatically
Like nearly every website, ours is delivered by a hosting provider that records basic technical information when a page loads — such as an IP address, browser type, the pages requested, and the date and time. This is used to deliver the site, keep it secure, and diagnose problems.
We do not use advertising, marketing, or analytics cookies on this website. We do not track you across other websites, and we do not use session recording, screen replay, or chat transcription tools. Our hosting provider may set cookies that are strictly necessary to deliver and protect the site.
If we ever add website analytics, we will update this policy and say so plainly before doing it.
5. Information from public sources
We research businesses that might benefit from our services, using publicly available sources such as business directories, chamber and association listings, and public websites. This may include a business name, address, phone number, website, and the name of a publicly listed owner or manager.
If you'd prefer we not contact you or keep this information, email us and we'll remove it.
6. How we use information
We use the information described above to:
- Respond to your inquiry and schedule a consultation
- Prepare a quote or proposal
- Deliver the services you hire us for
- Send invoices and keep business and tax records
- Communicate with you about work in progress
- Keep our website secure and working properly
- Meet our legal obligations
We collect only what we need for these purposes. If a field on our form isn't necessary for us to help you, it's optional or it isn't there.
7. What we do not do
- We do not sell personal information. We never have and we have no plans to.
- We do not share personal information for targeted advertising.
- We do not use client data to train artificial intelligence models.
- We do not publish client data. Any examples shown on our website or in marketing materials use masked or demonstration data, never a real client's records.
8. Who we share information with
We share information only in these situations:
Service providers. We use a small number of outside companies to run our business — website hosting and domain services, email delivery and forwarding, form submission processing, and accounting or invoicing tools. They receive only what they need to perform their function, and they are not permitted to use it for their own purposes. A current list of the service providers we use is available on request at xyclonesolutions@gmail.com.
You should know that email sent to our business address passes through an email forwarding service on its way to our inbox. This is normal for business email and is how most forwarded mail works.
Legal requirements. We may disclose information if we are required to by law, a court order, or a valid legal request, or where we need to protect our rights or someone's safety.
Business transfer. If Xyclone is ever sold, merged, or reorganized, information may transfer as part of that transaction. We would tell you before your information became subject to a different privacy policy.
9. How long we keep information
- Inquiries that don't become projects: up to 24 months, then deleted.
- Client project files: returned to you and deleted from our systems within 30 days of the project ending, unless we've agreed in writing to keep them for ongoing work.
- Emails, invoices, and business records: as long as we need them for accounting, tax, and legal purposes.
You can ask us to delete your information sooner. See Section 12.
10. How we protect information
We take security seriously — it's central to what we sell.
- Access to client files is limited to the people working on your project.
- Accounts holding business or client information are protected with multi-factor authentication.
- We use secure file transfer for client data rather than email attachments.
- Files are deleted on the schedule described above rather than kept indefinitely.
No method of storing or transmitting information is completely secure, and we won't claim otherwise. If a security incident affects your personal information, we will notify you and the Maryland Attorney General as required by Maryland law.
Please do not send us Social Security numbers, financial account numbers, health information, or other sensitive personal information through our website form.
11. Client project information
This section applies to the files and business information you give us during an engagement.
- We use it only for your project. Nothing else.
- We do not sell it, share it, or use it for our own purposes.
- You own it. We're handling it on your behalf.
- We keep it confidential, and we will sign a confidentiality agreement if you'd like one.
- We return it and delete our copies on the schedule in Section 9, or whenever you ask.
- If your data contains personal information about your own customers or employees, you remain responsible for it under the law, and we handle it according to your instructions and our written agreement.
- If your industry has specific requirements — health information, financial records, or similar — tell us before you send anything, so we can agree in writing on how to handle it.
Our written services agreement governs this relationship. Where that agreement and this policy differ, the agreement controls.
12. Your choices and rights
You may ask us to:
- Tell you what personal information we hold about you
- Give you a copy of it
- Correct anything inaccurate
- Delete it
- Stop contacting you
Email xyclonesolutions@gmail.com with your request. We'll respond within 45 days. If we can't do what you've asked, we'll explain why, and you may reply to ask us to reconsider — we'll answer that within 60 days.
There is no charge for these requests.
You can also contact the Maryland Attorney General's Consumer Protection Division if you believe we've mishandled your information.
13. Marketing communications
If we send you information about our services, every message will include a way to unsubscribe, and we'll honor it promptly. Replying "stop" or "unsubscribe" to any email from us works too.
We will not add you to a marketing list simply because you filled out our contact form. If you asked us a question, we'll answer your question.
14. Children
Our website and services are meant for businesses and are not directed to anyone under 18. We don't knowingly collect personal information from minors. If you believe a minor has given us information, email us and we'll delete it.
15. Links to other websites
Our site may link to other websites — a client's site, a tool we recommend, our social media. We're not responsible for their privacy practices. Read their policies before giving them your information.
16. Changes to this policy
If we change this policy, we'll post the updated version here and change the "Last updated" date. If the change is significant — for example, if we begin using website analytics — we'll say so clearly rather than quietly editing the text.
